Privacy policy

The short version

Iron and Air collects only what we need to do your job and run our business properly. We don't sell data. We don't share data with third parties for marketing. We don't currently use any analytics or tracking on this website.

If you want to know what we hold about you, ask. If you want it deleted, ask. We'll respond within 30 days.

What this covers

This policy describes how Iron and Air Systems handles personal information when you visit ironairsystems.com.au, contact us, or engage us for work. Iron and Air is based on the Gold Coast in Queensland.

Our annual turnover is currently below the $3 million threshold that triggers mandatory compliance with the Australian Privacy Principles under the Privacy Act 1988. We choose to follow the Australian Privacy Principles voluntarily because clients expect it and because it's the right way to operate.

What we collect

We collect the following types of information, only when you give it to us or when it's needed to perform work.

Contact information. Your name, address, phone number, and email address. Collected when you fill in a contact form, send an email, phone us, or engage us for work.

Property details. The address, layout, existing systems, and access requirements for the property where work is being done. Collected during quoting, audits, and installation work.

System configuration data. For ongoing support and warranty purposes, we keep a record of what equipment we installed, where, and how it's configured. This includes brand and model numbers, serial numbers, network configuration, and access credentials we set up for you.

Job records. Quotes, invoices, work orders, photographs of work performed, test results, and electrical safety certificates. We're required by Queensland electrical safety regulations to retain these records.

Email correspondence. When you email us or we email you, we keep those records.

Payment information. When you pay an invoice, we record the date and amount. We do not store credit card numbers. Payments are processed through our accounting software or by direct bank transfer.

We do not collect driver's licence or passport details, health or medical information, financial information beyond what's needed to invoice you, information about anyone other than the person engaging our services, CCTV or recorded video footage, or location data from your devices.

Why we collect it

We use your information for the following purposes, and no others.

To respond to your enquiry. To prepare quotes, audits, and proposals. To perform the work you've engaged us for. To invoice you and process payment. To provide ongoing support and warranty service. To meet legal obligations including electrical safety record-keeping, tax records, and Australian Consumer Law warranty obligations. To contact you about your installed system if a safety issue arises.

We do not use your information for marketing, profiling, or any commercial purpose other than running our business.

What we don't do

We do not sell personal information to anyone, ever.

We do not share personal information with third parties for marketing.

We do not currently use analytics, tracking pixels, advertising cookies, or any third-party trackers on this website. If we add basic visit analytics in future, we will update this policy and use only privacy-respecting tools that do not track individual visitors.

We do not currently send marketing emails or newsletters. If we ever begin sending marketing emails in the future, we will ask you to opt in before adding you to any list. You will not be enrolled by default.

Who we share information with

We share information only with parties who genuinely need it to deliver your work, and only the minimum needed.

Subcontractors and partner trades. When a job requires another trade, we share only what they need to complete their portion of the work, typically the property address, access details, and scope. Partner trades are bound by the same confidentiality expectations we hold ourselves to.

Suppliers and equipment manufacturers. When ordering equipment, registering warranties, or handling RMAs, we may need to share your name and address with the manufacturer or supplier.

Accountants and the ATO. Our accountant has access to invoice and payment records for tax purposes. The ATO has the legal right to request these records.

Insurers. If a claim is ever made under our public liability or professional indemnity insurance, our insurer would have access to the records relevant to that claim.

Lawyers, regulators, and courts. If we're legally compelled to produce records, for example by a court subpoena, a QBCC request, or an Office of Fair Trading complaint, we will comply.

We do not share information with any other party without your consent.

Where information is stored

Job records, quotes, invoices, and correspondence are stored in cloud services operated by reputable Australian and international providers. Some of these providers store data on servers outside Australia. We've satisfied ourselves that they meet equivalent privacy standards. If this is a concern for you, contact us before engaging and we can discuss alternatives.

How long we keep it

We retain records for the periods set by law and good practice.

Quotes, contracts, and job records: 7 years.
Invoices and payment records: 5 years, as required by the ATO.
Electrical safety certificates and test results: 7 years, as required by Queensland electrical safety regulations.
General correspondence: 5 years.
Insurance certificates of currency: indefinitely.

After these periods, records are deleted or destroyed unless we have an active reason to keep them, for example an ongoing system support relationship or an unresolved warranty matter.

Your rights

You have the following rights regarding the information we hold about you.

Access. You can ask what we hold about you. We'll respond within 30 days. There's no charge unless the request is unusually large or repeated.

Correction. If something we hold is wrong, ask us to correct it. We'll do so within 30 days.

Deletion. You can ask us to delete information about you. We'll do so unless we're legally required to retain the record, for example an electrical safety certificate within its 7-year retention period. We'll tell you which records can't be deleted and why.

Withdrawal of consent. If we ever obtain your consent for something, for example future marketing, you can withdraw that consent at any time.

Complaint. If you believe we've handled your information improperly, contact us first at admin@ironairsystems.com.au and we'll work with you to resolve it. If you're not satisfied with our response, you can escalate to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If we update this policy, we'll change the effective date at the top. Material changes that affect what we collect or how we use information will be highlighted. The current version always lives at ironairsystems.com.au/privacy.
